Position Summary
The Admin Associate will provide administrative support to the Brain and Behavior Science ( BBS ) program and its associated faculty, staff, and students. Responsibilities include, but are not limited to, assisting the program chair with reports, compiling and maintaining confidential student records, keeping a calendar of program events and other duties as assigned. This position is tasked with assisting faculty with instructional and administrative reports as well as research materials including grants, manuscripts, chapters, tables, and various reports. This position will provide travel support for the faculty, staff and graduate students associated with the BBS program and serves as backup, as needed, to the staff member housed in the main office.
Working with the program chair and the Franklin Business Services Office ( FBSO ), the administrative associate manages multiple priorities and projects and demonstrates creativity, flexibility, self-motivation, and strong problem solving, analysis and communication skills. This position will think creatively, analytically, and strategically with verified leadership skills, and will work independently and as part of a team. This position will provide administrative support to the BBS program using various programs in the Microsoft Office suite.

- Knowledge of Word, Excel, Adobe, email applications and internet applications.
- Ability to learn new computer programs.
- Problem-solving skills and decision-making skills a must.
- Excellent communication skills, punctual, dependable, and attention to detail. Work independently and without close supervision.
- Demonstrated ability to coordinate and manage multiple competing projects in an organized, efficient manner by prioritizing tasks to meet deadlines.
- Excellent interpersonal, written and verbal communication skills to interact with a variety of personalities at all levels, exercising tact, confidentiality, sound judgment, diplomacy, and flexibility to promote positive working relationships and job effectiveness.

BBS Program Administrative Support
- Administrative support for the BBS program includes tasks such as:
- Typing
- Formatting
- Poster printing
- Photo copying exams
- Assist with preparing program reports
- Create and maintain confidential student records
- Maintain a master calendar of meetings, event and seminars. Disseminate information on talks, seminars, colloquia, or other events that would be of interest to BBS faculty and students
- Communicate approved policies and procedures to faculty and staff. Communicate updates as needed
- Assist BBS faculty with instructional and administrative reports (e.g.: faculty activity reports) as well as research materials including grant proposals, manuscripts, chapters, tables, etc.
- Maintain updated email distribution list for communicating with program and department
- Maintain database of records for prospective and current graduate student in the BBS program
- Communicate with prospective graduate students with respect to application and recruitment processes

BBS Graduate Student Travel Support
- Collect authorization and travel materials from students
- Communicate MA and PhD years 1-2 travel requests to the Head's Office
- Enter PhD years 3-5 travel requests into Grad Status
- Communicate travel awards to graduate students and FBSO
- Assist graduate students in the OneSource reimbursement process
- Communicate with business services team regarding travel authorities and the reimbursement process

General Departmental Support
- As a member of the staff in the department, this position supports the faculty. This position either provides the requested customer service or refers it to the appropriate staff member to respond. In cases where a service is requested that falls outside of the normal duties, this position will either provide the service or consult with the business manager as to possible alternative resources
- Coordinate and provide leadership on special projects assigned by the department head and business manager.
