This is remote position with a Monday Friday, day shift. Together, we will become the world's leading cancer reference laboratory.Position Summary:As the Medical Operations Specialist supports the operational, documentation, and competency functions of the Medical Operations team across all pathology sites. This role plays a key part in maintaining standardized workflows, supporting medical staff onboarding and competency processes, coordinating departmental documentation updates, and ensuring operational readiness for inspections and audits. As a central partner to Medical Leadership, Quality, and cross functional departments, you will facilitate clear communication, supports tracking of departmental metrics, and assists in the implementation of new processes and initiatives. You work will help promote accuracy, efficiency, and consistency in medical operation activities.Responsibilities:
- Coordinate departmental programs such as onboarding, training, competency assessments, and proficiency testing for the medical staff
- Maintain operational readiness by supporting documentation updates, delegation letters, work instructions and Standard Operating Procedure alignment and assignment for medical workflows
- Support the Medical Operations Manager in implementing departmental initiatives and standardization efforts across sites
- Manage the administrative components of medical onboarding, including acting as subject-matter-expert, initiating cross functional alignment of responsibilities, documentation collection, and training coordination across departments
- Track and provide updates for training and competency completion to support compliance with internal standards and regulatory expectations
- Manage cross functional communication of training completeness, supporting teams with accurate records and routing of medical training, competency, and credential related documentation
- Facilitate departmental document updates to ensure procedures, forms, and work instructions reflect current practice and meet internal standards
- Bachelor's degree in Science or related field or equivalent work experience required
- 3 or more years of experience in CAP/CLIA laboratory, medical operations, or healthcare administrative role preferred
- Experience with process documentation, training coordination, or operational program management strongly preferred
- Experience with quality systems, process improvement, or good documentation practices (GDP) encouraged
- Ability to work independently and collaboratively in a dynamic environment
- Strong written and verbal communication skills
- Excellent organization and time management, with ability to prioritize multiple tasks
- High attention to detail and accuracy in documentation
- Proficiency with Microsoft Office (Excel, Word, PowerPoint, Outlook) and ability to learn additional tools (Smartsheet, SharePoint, Teams, Adobe Sign)
