LOCATION: Boulder, Colorado
SUPERVISED BY: Director of Programs and Research
SALARY RANGE: $25,000 - $35,000 Annually

ABOUT AISES:
The mission of the American Indian Science and Engineering Society (AISES) is to substantially increase the representation of American Indians, Alaska Natives, Native Hawaiians, First Nations, and other indigenous peoples of North America in science, technology, engineering, and math (STEM) studies and careers. Founded in 1977, with a rapidly expanding membership of more than 4,700 individual members, the American Indian Science, and Engineering Society (AISES) sustains 190 chartered college and university chapters, 20 professional chapters, and 158 affiliated K-12 schools supporting American Indian students the critically needed disciplines of Science, Technology, Engineering, and Math (STEM). AISES has awarded over $11 million in academic scholarships to American Indian STEM students. Through scholarships and internships, workforce development and career resources, national and regional conferences, science fairs, leadership development and other STEM focused programming, AISES is the leader in STEM opportunity for American Indians.

Position Summary: Performs support activities for the Programs Department including administrative tasks for AISES’ Science Fair, Energy Challenge, community STEM programs, SPRK-ing Interest in Computer Science, STEM & Business initiative, Advancing Agricultural Sciences Opportunities for Native Americans, scholarships, internships, events and more.

Requirements

GENERAL DUTIES AND RESPONSIBILITIES:

  • Provide administrative support to the Director of Programs and Research and all Program Officers in carrying out management and administrative activities.
  • Conduct wide-spread outreach to increase promotion of AISES programs and participation AISES programs.
  • Manage outreach contact lists.
  • Coordinate travel and process travel expense forms.
  • Prepares and process purchase requisitions and check requests according to approved procedures.
  • Assists with meetings and program events by drafting agenda, sending invitations, arranging for conference calls, preparing materials, shipments and taking and preparing meeting notes/minutes.
  • Aid in collection of curriculum and STEM resources for distribution to AISES affiliate schools and educators.
  • Participate in team planning and implementing AISES events.
  • Prepares and maintains a variety of files within AISES cloud-based filing system.
  • Accepts phone calls for program information, take messages, and respond to general inquiries.
  • Enter and retrieve data, maintain records, and generate reports from various internal systems.
  • Maintain confidentiality of privileged and sensitive information.
  • Perform other duties as assigned.

QUALIFICATIONS – PROFESSIONAL & EDUCATIONAL:

  • Associate’s degree required; Bachelor’s degree preferred.
  • Two years’ administrative experience to have included involvement with non-profit development and event planning.
  • Proficiency with Microsoft products, specifically MS Word, Excel, PowerPoint, Outlook.
  • Experience with other web-based applications and databases.
  • Must have customer service experience.
  • Thorough understanding and sensitivity to Native American history and culture and an awareness of the role and importance of Native STEM education.

QUALIFICATIONS – SKILLS, KNOWLEDGE & ABILITIES:

  • Must have excellent verbal and written communication and customer service skills for internal and external interactions, correspondence with AISES staff, external vendors, and representatives of tribal, corporate, and government organizations.
  • Must possess strong initiative and be results-oriented.
  • Must be customer-focused and possess strong customer service skills.
  • Dependable and able to focus on details, prioritize, and meet project schedules and deadlines.
  • Must be willing and eager to work in a highly collaborative team environment.
  • Demonstrated ability to meet deadlines.
  • Must be enthusiastic, tactful, mature, flexible, and creative.
  • Must be detail orientated, resourceful, and well organized.
  • Must have a high-energy level.
  • Occasional travel will be required.
  • Ability to lift 35lbs.
