The Sr. Project Coordinator will support the account and project management efforts of the company, reporting directly to the Manager, Project Coordination (or higher). Responsible for project maintenance and coordination with technical teams to ensure accuracy in project level reporting and robust decision-making. The ideal candidate will be self-motivated, detail-oriented, and well organized with excellent communication skills. The ability to multi-task and adapt to shifting priorities is essential. This person will also bring exceptional interpersonal skills, with the ability to build relationships with internal team and external partners. The Sr PC should have a strong knowledge of accounting and finance, customer service, with good communication skills and the ability to maintain confidentiality.
Responsibilities
Project Management
- Ensure internal project management system reflects accurate project milestones, budgets, timelines, billing methods and assignment of resources as per signed client contracts while maintaining internal and external Audit and Compliance
- Proactively communicate potential change orders to Business Development
- Minimize client disputes by ensuring accurate and timely invoicing of projects every month
- Prepare projects for archiving in company's project management software and electronic document management system.
- Conduct project setup, maintenance, and invoicing in project management software.
- Follow up on actionable items from meetings and decisions and involve key stakeholders as needed.
- Evaluate potential project risks and provide solutions where applicable; identify and troubleshoot issues.
- Manage project related correspondence and document project decisions.
- Meet deadlines, and complete other essential daily and long-term activities.
- May provide operational excellence support, including improvement of business practices.
- Mentor and train new Project Coordinators.
- Serve as back-up to project managers as necessary to support the business.
- Focus on improving and facilitating work-flow processes in accordance with the company policies and procedures.
- Perform other responsibilities as directed.
Communication
- Collaborate directly with stakeholders to maintain projects and ensure accuracy in project level reporting and decision making.
- Produce and clear and concise communications.
- Communicate issues, issue status, and issue resolution on a regular basis.
- Provide timely feedback to keep all stakeholders, including senior management, informed of project progress.
- Lead and facilitate regular project status meetings with project leads.
- Develop and distribute daily, weekly, and monthly reporting mechanisms as needed.
Qualifications
- BA/BS Degree
- Background in pharmaceuticals and/or science and technical industries preferred
- Order-To-Cash and Accounts Receivable experience of 5-7 years
- Rebates and Incentive experience with client Contract translation and analysis of 2-3 years
- Prior Project Management, Transition and Training experience preferred
- Proactive, detail oriented, highly organized, and able to multitask.
- Outgoing, professional, engaging, and personable.
- Ability to provide high-quality customer service and follow through on all assignments.
- Ability to work effectively both independently and as part of a team.
- Proficient in Microsoft applications including Outlook, Word, Excel, and PowerPoint.
- Excellent communication skills, both verbal and written, across all levels of the organization.
- Demonstrated problem solving skills with proven success in Client Account Reconciliation, Dispute Management and strong Customer Service experience

- Experienced in engaging multiple stakeholders across a global and matrixed organization.
- In depth understanding of key business drivers globally, leveraging these insights to drive sound and timely decision making.
- Ability to prioritize and manage multiple concurrent tasks in a fast-paced deadline driven environment while delivering high quality results.
- A quick learner able to rapidly grasp and master new/changing business needs.
- Excellent communication skills and ability to adapt communication styles to varied internal and external partners.
- Adept at multi-tasking and problem solving.
- Ability to work independently or within a collaborative environment, recognizing value in sharing information and responding to requests in a professional and timely manner.
